Job Description

Program Coordinator

GOH is a small management consulting firm supporting the federal government since 1997. We are seeking a new team member experienced in military academic engagement, STEM opportunity marketing, and applicant recruitment to support our federal clients.

The Program Coordinator will support day-to-day execution of a military Faculty Fellowship Program and Research Apprentice Program. Working under GOH program leadership, the Coordinator will lead application processing, research matching support, onboarding, participant logistics, events, and reporting for eligible faculty and student participants.

GOH seeks candidates who understand military organizations, customs, terminology, chains of command, and military academic environments. Relevant experience may include military service, DoD/DOW civilian or contractor support, military science or ROTC programs, service academies, Senior Military Colleges, or defense research and education programs.

Duties and Responsibilities:

  • Coordinate program schedules, milestones, action items, participant records, and execution risks; support the Technical Management Plan, master schedule, and monthly status reporting.
  • Log and process applications; conduct initial completeness and eligibility screening against Government-provided criteria and document issues for Government determination.
  • Help student and faculty participants align research interests and competencies with research opportunities; coordinate application packages and research matching information with designated laboratory personnel.
  • Prepare Applicant Analysis and Selectee Analysis Report inputs, including academic, demographic, competency, acceptance, and placement information.
  • Draft selection, non-selection, and appointment correspondence; release only after written Government selection approval and authorization. Track acceptances, declinations, and coordinated start dates.
  • Collect and review onboarding and access documentation for completeness; track submission status and coordinate with Government-designated security personnel. Government officials retain access and clearance determinations.
  • Coordinate biweekly stipend inputs and reconcile participant records for timely stipend distribution; support funded housing, relocation, travel, and local transportation arrangements under applicable JTR and contract requirements.
  • Maintain participant and mentor communications across host sites; resolve routine issues and elevate schedule, payment, safety, access, or placement concerns to GOH leadership.
  • Support Symposia and event planning, registration, agendas, speaker materials, posters, travel documentation, surveys, and event execution; assist with scheduled events and webinars.
  • Compile monthly status report inputs, event summaries, annual program results, lessons learned, and transition records; safeguard PII, CUI, and sensitive program information.

The scope of the job may change as necessitated by business demands. The essential functions described are not a comprehensive list of duties and responsibilities; additional tasks may be assigned.

Requirements:

  • Bachelor's degree in program management, education, business administration, military science, public administration, a STEM discipline, or a related field.
  • Minimum of four years of relevant experience supporting program coordination, military education, research programs, internships, or workforce development.
  • Demonstrated knowledge of military organizations and professional protocols, gained through military service, DoD/DOW support, ROTC or military science programs, military colleges, service academies, or comparable experience.
  • Experience coordinating applications, participant onboarding, schedules, records, and activities across multiple stakeholders or locations.
  • Strong writing, analytical, organizational, and customer-service skills; ability to prepare accurate correspondence, reports, and financial tracking inputs.
  • Proficiency with Microsoft 365, Excel tracking and analysis, application portals, collaboration tools, and virtual-event platforms.
  • Ability to handle sensitive participant and financial information securely and work effectively in a collaborative, deadline-driven environment.

Preferred Qualifications:

  • Prior military service, DoD/DOW civilian or contractor experience, or direct support to Army Cadet Command, SMCs, USMA, DEVCOM, or ARL.
  • Experience supporting STEM research placements, cadet development, faculty fellowships, or geographically dispersed federal internship programs.
  • Familiarity with JTR-based travel administration, stipend processing, federal reporting, and Government-directed onboarding and access procedures.
